A great example of how my professional event photography services were able to help simplify corporate event planning is the Wheel Live! event. This two day corporate conference took place here in Austin, Texas, my home base, and was planned and coordinated by Austin’s premier event production agency, RED VELVET. It was the perfect blend of work and play, as the Wheel team held their meetings at The Westin Austin Downtown with a night of fun at the famous Antone’s.

I so enjoyed working with the RED VELVET and Wheel teams in their corporate event planning process! Wheel is a thought leader in the healthcare industry, as they work to deliver superior virtual care with a clinician focused approach. With their headquarters in Austin, it was a no brainer to hold their corporate conference here!
They had contracted my friends over at RED VELVET to be their meeting planners and their team then recommended me to be their event photographer. As an Austin event photographer, I absolutely love working with meeting and event planners! They are a full service marketing and event production company with years of experience, which is why they’ve been at the forefront of the Austin event industry for the last decade. For this event for Austin PBS and Wheel, I provided my signature event photography services, complete with all the package items that I’ll detail in the next section.

It is one of my most popular add-ons because getting professional photos out to your attendees and team within 24 hours increases engagement and sharing to social media tenfold! If there’s ever a time that your attendees will cross promote the event and your company, it’s in the hours just after the event concludes… while they’re still on a high from all the fun!

This is a station that I can set up no matter where your event is to take new headshots of your team! Whether your event is indoors or outdoors, I will scout out the best backdrops to utilize in order to make your team shine in their pictures. All of the meeting planners’ hard work in their corporate event planning process definitely paid off! The Wheel Live! conference was a success! It kicked off with breakfast and an official welcome session. Held in one of The Westin Austin Downtown’s ballrooms, the room was set classroom style with black pipe and drape as the stage backdrop. The stage also featured Wheel’s logo, amber uplights, and a mini plant wall to border the stage. Wheel’s signature brand color is jade green, so the natural green of the plants made the perfect touch!
To aid the speakers, they also set a confidence monitor onstage and a large, draped screen with rear projection. The setup was elegant and effective, helping attendees focus on the presentations while also encouraging engagement.
On day one of the conference, they had breakout meetings, a group lunch, strategy sessions, and a break where Wheel treated everyone to Round Rock Donuts, an Austin staple!
After a productive first day of the conference, it was time to let loose and have some fun! A party at the famous Antone’s did the trick!
Their signature blue neon sign and custom marquee that read “Wheels Up Y’all!” greeted guests into the party, setting the tone for the night. With drinks flowing, energetic music playing, and a gorgeous view of downtown Austin, it was a night to remember! And when they broke out the karaoke, the party really amped up! Karaoke is an activity that everyone enjoys, whether you sing or watch. 10/10 would recommend this as a fun team building activity!
Day two of the Wheel Live! conference began with another breakfast and welcome. The group then dove into focused working sessions before breaking for lunch. As swag for the attendees, Wheel gifted everyone a branded lanyard and canvas tote bag filled with goodies. These not only helped identify attendees as part of the Wheel group, but they also looked great in photos to unify the team.
One of my favorite parts of day two was the Wheel team photo! Up until this point, I had captured candid photos of the speakers onstage, attendees as they mixed and mingled, detail shots of the setup, and some posed photos with a handful of guests at a time.
In their corporate event planning process, RED VELVET and Wheel carved out a designated time for a new team photo. With such a large group, it can be chaotic to arrange everyone for a group picture, but when you work with a professional event photographer like myself, it is easy and stress-free!
That’s one of the many advantages to hiring a seasoned event photographer: Knowing you are in capable hands in any given scenario!
Low lighting? No problem!
Outdoors with the sun at high noon? Don’t worry!
A couple hundred people to direct and arrange for a group photo? No sweat.
Photographing the Wheel team at their annual conference was such an honor and joy! I loved getting to create a smooth and seamless corporate event planning experience for my RED VELVET partners and the Wheel team. It was a highly productive and encouraging couple of days for their attendees and team as a whole, and they got to use the photos from the conference in a myriad of ways.
